Harwell Campus is a 700-acre science and innovation campus in Oxfordshire. ​​Key Responsibilities

General office management duties to ensure the office runs smoothly.

General reception duties including answering phone, welcoming visitors, organising taxis/couriers, completing visitor COVID procedures and providing tea/coffee

Serve as the key point of contact for main office vendors, such as maintenance, mailing, supplies, equipment repair.

Monitor office machines and systems, and problem-solve issues as needed (including copiers, conference room scheduling).

Meeting room/kitchen management - ordering catering and providing drinks for meetings if required.

Monitor and maintain inventory of necessary office and kitchen supplies; order supplies as needed to keep basic supplies stocked, and to fulfill special requests from staff.

Design, communicate and oversee implementation of office operations, policies and procedures.

Maintain and update office phone list, email distribution lists, and other similar systems.

Provide event support and planning, including meetings, events and birthday presents, provide necessary information to Compliance Manager for the Gifts Approval Policy

Manage office card for purchases and expenses adhering the policies

Provide approval for POs for Finance

Assist with any space planning /office moves with Facilities Manager

Technology

Act as liaison with IT support company (off site) as required re: IT, printer, or telephony problems, ordering new equipment.

New starters – arrange email address/ IT equipment/ starter checklist.

Review security measures in place and recommend to senior management most applicable.

Provide VC support for meetings when required

Highly organised with a willingness to take on responsibilities

Excellent communication skills

Excellent IT skills

Strong time management skills and ability to prioritise a wide-ranging workload
